4. Our lawful bases for processing
We process personal information only where we have a lawful basis under UK data protection law. Depending on the purpose, this may include:
-
Contract: where processing is necessary to provide services you have requested.
-
Legal obligation: where we must process information to comply with the law.
-
Legitimate interests: where necessary for appropriate business administration, security and the operation of our practice, provided your rights do not override those interests.
-
Consent: where consent is the appropriate legal basis for a particular activity.
Health information is special category personal data under UK GDPR and requires an additional legal condition for processing. We will rely on an applicable condition under Article 9 of UK GDPR and, where required, obtain explicit consent.
5. How we store and manage your information
We use digital systems to support our practice, which may include:
-
Nurish Pro for practice management and client records.
-
Gmail for business for business email and client communications.
-
Zoom for online consultations.
-
Transcription software occasionally to assist with preparing consultation notes.
These providers may process personal information on our behalf. We take reasonable steps to protect the information we hold and restrict access to those who need it for legitimate purposes.
6. Functional testing and laboratory services
Where functional testing is discussed and arranged as part of your services, we may share relevant information with a testing laboratory or testing provider to facilitate the requested test and the reporting of results.
Depending on the test, this may include your name, contact details, relevant health information and information needed to identify, process and report on your sample.
We aim to share only information necessary for the relevant purpose. Laboratories may process your information under their own privacy notices and responsibilities, depending on their role in providing the service.
We may receive your results and incorporate relevant information into your consultation record to support discussion of your results and nutritional recommendations.
Where necessary, we will explain what information will be shared and obtain any consent or authorisation required for the particular arrangement.
7. Supplement companies and product suppliers
We may work with supplement companies and product suppliers to research products, provide information about supplements or help clients access products relevant to their nutritional plans.
We do not routinely share identifiable client health information with supplement companies.
Where a supplier needs personal information to fulfil an order or provide a service you have requested, we will share only the information necessary for that purpose. Where you ask us to share information with a company, we will do so where appropriate and lawful.
If a company receives personal information for its own purposes, it may have separate responsibilities under its own privacy notice.
Our professional recommendations are intended to support your nutritional goals. Working with a supplier does not mean that we share your personal information with it automatically.
8. Other circumstances in which we share information
We do not sell your personal information.
In addition to the providers described above, we may share information where necessary and lawful, for example:
-
With service providers who help us operate our practice.
-
With another healthcare professional, such as your GP, where appropriately authorised or otherwise lawful.
-
With professional, legal or accounting advisers where necessary.
-
To comply with a legal obligation or a lawful request from an authorised authority.
We do not routinely share identifiable health information with third parties for their own marketing purposes.
9. International transfers
Some of the technology or testing providers we use may process or store information outside the United Kingdom.
Where personal information is transferred internationally, we will take steps to ensure that the transfer complies with applicable UK data protection law, including using an applicable adequacy decision or appropriate safeguards where required.
The specific arrangements depend on the providers and services involved.
10. Consultation recordings and transcripts
From time to time, we may use transcription technology to help prepare accurate consultation notes.
Where transcription is proposed, we will explain its purpose and how it will be used beforehand, and seek your agreement and any consent required for the particular arrangement.
We aim to use transcripts as working documents to support the preparation of relevant consultation records, rather than retaining duplicate records unnecessarily. Recordings and transcripts will be deleted when no longer needed, in line with our retention arrangements, unless there is a legitimate or legal reason to retain them.
Relevant information may be incorporated into your professional record. We cannot guarantee that recordings or transcripts will be excluded or included from a request to access personal information; such requests will be considered in accordance with applicable data protection law and relevant exemptions.
If you prefer not to be recorded or transcribed, please raise this before the consultation so that we can discuss the available arrangements.
11. How long we keep your information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing our services, maintaining appropriate professional records and meeting legal obligations.
Different information may need to be retained for different periods. Our retention arrangements cover client records, correspondence, financial records and any recordings or transcripts we create.
Recordings and transcripts will not be retained indefinitely simply because they exist. They will be deleted when no longer needed, subject to any applicable legal, professional or other legitimate retention requirement.
12. Keeping your information accurate and secure
We take reasonable steps to keep your personal information accurate and up to date. Please let us know if your contact details change or if information you have provided needs correcting.
We also take reasonable measures to protect information against unauthorised access, loss, alteration or disclosure.
13. Your data protection rights

Access the personal information we hold about you.

-
Request erasure in certain circumstances.

14. Complaints
If you have concerns about how we handle your personal information, please contact us first so that we can try to resolve them.
